Hudhoor — Attendance Management Application
Effective Date: September 2025
Abu Dhabi Customs ("we", "our", or "the Organisation") is committed to
protecting the privacy and personal data of all employees who use the
Hudhoor mobile application ("the App"). This Privacy Policy explains
what data we collect, why we collect it, how it is used and stored,
and the rights available to you as a user.
Hudhoor is an internal workforce attendance and presence management
application developed exclusively for Abu Dhabi Customs employees. It
is available on iOS and Android and is not accessible to the general
public.
This Privacy Policy applies to all current employees of Abu Dhabi
Customs who are registered and authorised to use the Hudhoor
application. Use of the App is limited to organisational purposes
only.
We collect only the minimum data necessary to operate the attendance
and presence management features of the App.
3.1 Identity & Authentication Data

Initial app access is authenticated using your Abu Dhabi Customs
Microsoft 365 organisational email account

Employee identity verified through UAE Pass at the point of check-in

Biometric authentication data processed locally on your device
(fingerprint or Face ID) — biometric templates are never transmitted
to or stored on our servers
3.2 Attendance & Shift Data
- Check-in and check-out timestamps
- Working hours and shift records

Shift schedule information including special or adjusted schedules
applicable during designated organisational events or periods
3.3 Location Data

GPS location data collected only during an active shift (when you
are checked in)

For on-site employees: location is validated against geofenced
boundaries of official Abu Dhabi Customs office locations

For work-from-home employees: location is validated within a
200-metre radius of the location recorded at your first check-in

Background location monitoring is active only while you are checked
in; it ceases immediately upon check-out or moving outside the
geofence boundaries
3.4 Device Data
- Device model, operating system version, and app version

Device identifiers used solely for compatibility, performance
monitoring, and technical troubleshooting
⚠ We do not collect browsing history, contacts, photos,
microphone data, or any data unrelated to attendance
management.
All data collected through the Hudhoor application is used exclusively
for the following purposes:

Recording and verifying employee attendance (check-in and check-out)

Calculating and tracking working hours in compliance with
organisational policies

Enforcing location-based attendance policies for on-site and remote
shifts

Supporting flexible timing and scheduling policies applicable during
designated organisational events or periods

Providing employees with real-time attendance status and shift
information

Ensuring system reliability, including offline functionality and
data synchronisation
- Maintaining operational compliance and internal audit records

Technical troubleshooting and application performance improvement
⚠ We do not use your data for marketing, profiling for
non-work purposes, automated decision-making unrelated to
attendance, or any commercial purpose.
5.1 Where Your Data is Stored
All data collected by Hudhoor is stored on Microsoft Azure cloud
infrastructure owned and controlled by Abu Dhabi Customs. Data does
not leave the Organisation's controlled cloud environment.
5.2 Security Measures
Encryption in transit and at rest
All data is encrypted using industry-standard TLS and Azure
encryption protocols.
Access controls
Only authorised Abu Dhabi Customs personnel can access attendance
records.
Secure multi-layer authentication
Through Microsoft 365, UAE Pass, and device biometrics.
Regular security reviews and monitoring
Of the infrastructure in accordance with organisational security
policies.
5.3 Data Retention
Your attendance records and associated personal data are retained for
the duration of your employment with Abu Dhabi Customs. Upon
termination of employment, your data will be handled in accordance
with the Organisation's records management and data retention policy.
When location is collected
Only when you are actively checked in to a shift.
Why location is collected
To verify presence at an approved work location (office geofence or
designated work-from-home address).
Background location
Used to ensure attendance accuracy during a shift without requiring
the App to stay open at all times. Access is automatically revoked
when you check out.
Work-from-home monitoring
A 200-metre geofence is established from your initial check-in
location to confirm presence at your declared remote work location —
not used for continuous tracking of movements.
7.1 Microsoft 365 Organisational
Login

Authentication handled securely by Microsoft Entra ID on behalf of
Abu Dhabi Customs

Microsoft 365 credentials are never stored by Hudhoor or on Abu
Dhabi Customs application servers

Used solely for initial application access and identity
verification
7.2 UAE Pass Authentication

UAE Pass confirms your identity to authorise the check-in action

No UAE Pass credentials, passwords, or identity documents are
stored beyond what is required to verify your employee identity

UAE Pass authentication is governed by UAE Pass terms of service
and UAE national identity policies
Your personal and attendance data collected through Hudhoor:

Is not shared with any third-party organisations, vendors, or
external parties
- Is not sold, licensed, or disclosed for commercial purposes
- Is accessible only to authorised Abu Dhabi Customs personnel

May be disclosed if required by UAE law or a lawful government
authority request
Microsoft Azure operates as a data processor under applicable data
protection agreements and does not have rights to use your data
independently.
Right to AccessRequest a copy of attendance and personal data held about
you.
Right to CorrectionRequest correction of any inaccurate attendance records or
personal data.
Right to InquireInquire about how your data is being used and processed.
Right to Raise ConcernsRaise concerns or complaints about data handling.
Contact the Abu Dhabi Customs Service Desk (Section 11) to exercise
these rights.
When the App is used offline:

Attendance records and location data are temporarily stored on your
device in encrypted form

Data is automatically synchronised to Azure servers when
connectivity is restored

Offline data is protected by device-level security and is not
accessible to other applications
For any questions, concerns, or data requests regarding this Privacy
Policy:
Abu Dhabi Customs reserves the right to update this Privacy Policy as
necessary. Where changes are material, employees will be notified
through official internal communication channels or within the App
itself. Continued use of the App following notification constitutes
acceptance of the updated Privacy Policy.
