Introduction

Abu Dhabi Customs ("we", "our", or "the Organisation") is committed to protecting the privacy and personal data of all employees who use the Hudhoor mobile application ("the App"). This Privacy Policy explains what data we collect, why we collect it, how it is used and stored, and the rights available to you as a user.

Hudhoor is an internal workforce attendance and presence management application developed exclusively for Abu Dhabi Customs employees. It is available on iOS and Android and is not accessible to the general public.

Who This Policy Applies To

This Privacy Policy applies to all current employees of Abu Dhabi Customs who are registered and authorised to use the Hudhoor application. Use of the App is limited to organisational purposes only.

Data We Collect

We collect only the minimum data necessary to operate the attendance and presence management features of the App.

How We Use Your Data

All data collected through the Hudhoor application is used exclusively for the following purposes:

⚠  We do not use your data for marketing, profiling for non-work purposes, automated decision-making unrelated to attendance, or any commercial purpose.

Data Storage & Security

5.1 Where Your Data is Stored

All data collected by Hudhoor is stored on Microsoft Azure cloud infrastructure owned and controlled by Abu Dhabi Customs. Data does not leave the Organisation's controlled cloud environment.

5.2 Security Measures

Encryption in transit and at rest All data is encrypted using industry-standard TLS and Azure encryption protocols.
Access controls Only authorised Abu Dhabi Customs personnel can access attendance records.
Secure multi-layer authentication Through Microsoft 365, UAE Pass, and device biometrics.
Regular security reviews and monitoring Of the infrastructure in accordance with organisational security policies.

5.3 Data Retention

Your attendance records and associated personal data are retained for the duration of your employment with Abu Dhabi Customs. Upon termination of employment, your data will be handled in accordance with the Organisation's records management and data retention policy.

Location Data — Detailed Notice

When location is collected

Only when you are actively checked in to a shift.

Why location is collected

To verify presence at an approved work location (office geofence or designated work-from-home address).

Background location

Used to ensure attendance accuracy during a shift without requiring the App to stay open at all times. Access is automatically revoked when you check out.

Work-from-home monitoring

A 200-metre geofence is established from your initial check-in location to confirm presence at your declared remote work location — not used for continuous tracking of movements.

Authentication Methods

7.1 Microsoft 365 Organisational Login
  • Authentication handled securely by Microsoft Entra ID on behalf of Abu Dhabi Customs
  • Microsoft 365 credentials are never stored by Hudhoor or on Abu Dhabi Customs application servers
  • Used solely for initial application access and identity verification
7.2 UAE Pass Authentication
  • UAE Pass confirms your identity to authorise the check-in action
  • No UAE Pass credentials, passwords, or identity documents are stored beyond what is required to verify your employee identity
  • UAE Pass authentication is governed by UAE Pass terms of service and UAE national identity policies

Data Sharing & Disclosure

Your personal and attendance data collected through Hudhoor:

Microsoft Azure operates as a data processor under applicable data protection agreements and does not have rights to use your data independently.

Your Rights

Right to AccessRequest a copy of attendance and personal data held about you.
Right to CorrectionRequest correction of any inaccurate attendance records or personal data.
Right to InquireInquire about how your data is being used and processed.
Right to Raise ConcernsRaise concerns or complaints about data handling.

Changes to This Policy

Abu Dhabi Customs reserves the right to update this Privacy Policy as necessary. Where changes are material, employees will be notified through official internal communication channels or within the App itself. Continued use of the App following notification constitutes acceptance of the updated Privacy Policy.
